Few things are more frustrating for a business and its customers than having to resubmit documents.

Something as simple as a missed signature field can reduce the speed and efficiency for your business, add friction to your carefully curated customer experience, and ultimately cost you time and money.

To help with document accuracy and completeness, Notarize has added Conditional Fields to the transaction creation process.

What are Conditional Fields?

Conditional Fields help signers complete their documents with a dynamic experience that is responsive to their choices.

These fields use “if/then” properties that can be applied to any signer field. This means that once a signer completes a primary action, like clicking a checkbox, one or more additional fields are activated.

Businesses can add Conditional Fields as part of document tagging and template creation to help customers complete a document quickly and accurately.

How do Conditional Fields work?

It’s likely you already encounter conditional logic in your everyday life. If you’ve ever selected “Other” on a form and received a follow-up prompt that said “Please specify,” that is conditional logic in action.

Notarize's Conditional Fields use that same logic to walk your customer through the signing process, so they know exactly what's required of them and when.

Let’s say you work with the Patriot Act Information Form, which requires your signer to select a preferred method of identification. When the signer selects their identification, they'll need to provide additional information, like the issuing state or country and expiration date.

During the document tagging or templating process, you can set up Conditional Fields to prompt the signer for additional information when they check the box for their identification.

These additional fields are only presented to the signer after they select driver’s license as their preferred ID type to help reduce document clutter and confusion about what information the signer needs to provide.

What fields can be Conditional Fields?

Businesses can add Conditional Fields to all Optional Fields on the Notarize platform. When the Optional Field is selected by the signer, its Conditional Fields will appear.

So if we go back to the example of the Patriot Act Information Form, your signers have the option to select their preferred form of ID: Driver’s License, Passport, Military ID. Once they make their selection, they will be prompted to provide more information about that form of ID.

This ensures all of your signer's relevant information is provided in the document according to their unique situation.

Who can use Conditional Fields?

All Notarize customers now have access to Conditional Fields, and your customers will be able to complete Conditional Fields across all device types.

At this time, Conditional Fields must be applied to documents and templates within your Notarize account, not through our API or White Text Tagging.

Conditional Fields are one of several new features we’re excited to bring you as part of Notarize’s April 2023 Product Release. For more information on the other new features, check out our Release Notes.
